The New Orleans Museum of Art (NOMA) seeks an exceptional, experienced, personable, full-time Executive Assistant to the Director. The Executive Assistant to the Director is responsible for providing highly skilled administrative support to the Director of the Museum, senior staff, and the NOMA Board of Trustees. The incumbent will be an excellent steward representing NOMA to internal and external stakeholders.
ESSENTIAL JOB FUNCTIONS
- Handles all administrative duties for the Director including managing correspondence; screening phone calls; providing information to callers; greeting visitors; maintaining calendar and scheduling appointments and meetings; arranging conference calls; and maintaining contact databases
- Communicates with Trustees’ offices concerning scheduling of Board and Committee meetings
- Attends Board and Committee meetings, prepares agendas and minutes and handles a variety of administrative matters related to the Board and Board Committees
- Organizes and produces components of the Director’s Report to the Trustees
- Manages communications related to all aspects of the Director’s responsibilities, which include curatorial, fundraising, publications, and long-range planning projects
- Handles all travel arrangements and in trip changes for Director’s trips
- Organizes and maintain paper and electronic files for the Director’s Office
- Operates current and new office technologies; develops methods for improving efficiency of the Director’s office
- Manages special projects as designated by the Director
- Additional duties as needed
MINIMUM QUALIFICATIONS
- Bachelor’s degree or at least seven or more years related experience in an executive office environment, preferably in a non-profit setting.
- Excellent time management and multi-tasking ability
- Requires high level of confidentiality, initiative, diplomacy, independent judgment, and flexibility
- Highly collaborative and-well organized, excellent written and oral communication skills
- Ability to respond effectively to the demands and priorities of the Director
