JOB TITLE:  Digital Asset Manager
REPORTS TO: Digital Project Manager and Collections Manager and Rights and Reproductions Coordinator
FLSA STATUS: Exempt

 

JOB SUMMARY: 

The Digital Asset Manager is a key member of the Digital Strategy Team, bridging the need for digital assets by the Registrar’s department and for all other departments at the museum. They will be responsible for maintaining, troubleshooting, and enhancing the museum’s collections management system (MIMSY XG) and assist in managing the digital asset management system (PICTION). They will also edit, add metadata and prepare digital files on various platforms, including PICTION, MIMSY, and NOMA’s website, among others.  The Digital Asset Manager will maintain and verify records between MIMSY XG and PICTION, assuring consistency and accuracy. The Digital Asset Manager will undertake the technical and procedural responsibilities that ensure the utilization of both MIMSY XG and PICTION and advances collections information management, imaging and collections related tasks to fulfill interdepartmental needs. This is a one-year grant-funded position.

 

ESSENTIAL JOB FUNCTIONS:

  • Assists in editing, linking, uploading, and distributing Collections images to PICTION, NOMA’s website, and other NOMA public and internal projects
  • Performs system testing and PICTION and MIMSY XG cleanup
  • Sustains data standards and procedures in accordance with best practices
  • Maintains and updates MIMSY XG standards documentation, manages security profiles and access levels for each staff member
  • Ensures consistency in MIMSY XG and PICTION records, reviewing usage of controlled vocabularies, and monitoring data entry and digitization of images and database configurations
  • Assists Registrars with data uploads and report-building with reporting software, Crystal Reports
  • Reviews guideline updates in metadata standards.

 

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree required (Master’s degree preferred), preferably in Museum Studies, Information Science, or a related field
  • Minimum three years experience in museum registration and/or database management, or an equivalent combination of education and experience.
  • Excellent computer skills with demonstrable experience in digital image editing tools and scanning software (e.g. Photoshop, Silverfast)
  • Experience using  collections management software (MIMSY XG or other collections  management systems)
  • Knowledge of standard practices in use of metadata in a museum, archive, or special collections environment.
  • Knowledge of published vocabularies, standards, and linked data tools such as the AAT, CCO, LCNAF, TGN, ULAN, VIAF
  • Proficiency in developing, editing, and troubleshooting reports and dashboards, preferably in Crystal Reports (or related software)
  • Experience using Microsoft Office 365 applications, Adobe Creative Cloud tools, cloud-based shared work systems (Google, Asana, or Microsoft teams), and Zoom.

PHYSICAL REQUIREMENTS

  • Position requires detailed work at close range; finger dexterity, talking, visual activity, standing or sitting for extended periods of time; performing repetitive tasks for long periods of time; performing repetitive tasks for long periods of time
  • Occasional lifting up to 20 pounds.
  • May be required to travel by car or plane to business events. Travel may involve prolonged sitting or standing.
